Will we have a long learning curve or training period before we can get value from InEight Document?

InEight Document has a clean and intuitive interface and navigation system to help get suppliers and subcontractors up and running with minimal training. In fact, with InEight’s available training resources, users can learn at their own pace. While users acclimate to the solution, administrators can limit the available user choices when uploading documents to prevent errors and rework.

We have thousands of documents on our project. How can we quickly search for particular documents and organize our information?

InEight Document’s innovative document register offers several ways to filter data and help users quickly find what they need. One of the easiest methods is through a keyword search, which looks across all documents for the keyword(s) entered. Alternatively, users can create and apply simple or advanced filters. The document register also allows users to save search conditions and make them available company or project-wide. The unique Smart Folders within InEight Document let users define their own metadata and quickly build file structures based on those categorizations. InEight Document will then create the structure and automatically file the documents.

What kind of time savings can we expect if we implement InEight Document?
Customers have experienced a 75% reduction in project document search time and a 30% cut in RFI, submittal, and other document workflows. It’s not uncommon to see a 90% reduction in time spent emailing documents and attachments to team members.
How can we use InEight Document to manage the review and approval of documents?
InEight Document’s processes are highly customizable. Administrators can set up review teams to work in sequence or concurrently, or even a combination of both. With InEight Document’s built-in file viewer, users can directly mark up documents without crossing into any other software. InEight Document also supports Comment Sheets for tracking review process actions as well as Bluebeam integration for document workflow.
How can we formally issue information to other parties on our projects?
InEight Document uses transmittals to formally issue project information. Transmittals are received by email and provide recipients with download links to retrieve the information. The system will even record the date documents were downloaded from these transmittals. InEight Document specifically allows for users to share transmittals with project contacts outside the organization or without their own InEight Document licenses.
How do users keep track of tasks like documents to review or mail to respond to?
When a user logs on to InEight Document, the first thing they see is the Project Dashboard. This customizable dashboard presents the user headline information about the various modules in the system. Action items are clearly identifiable, with overdue actions appearing in red. Everything on the dashboard is hyperlinked, meaning users can get straight to their actions with one click.
Can the system manage items like RFIs, site instructions, and formal letters?
InEight Document automates document-related workflows to simplify the review process for drawing packages, RFIs and submittals, and any other document-centric business process with user-defined workflows. By automating workflows, InEight Document keeps projects moving and empowers hundreds of project stakeholders to efficiently work together no matter their role.
We rely heavily on email in our business. Can InEight Document account for that correspondence?
InEight Document’s Mail module allows controllers to manage instructions, letters, meeting minutes, and more. Mail lets users communicate in a controlled manner, so that all project correspondence is in one place instead of multiple email accounts across the business. From a management point of view, administrators can view the Mail registers in Personal (everything sent or received by an individual) or Company views (everything sent or received by the organization). All of this can also be done in Microsoft Outlook with our Outlook integration.
What reporting functions are available in the system?
InEight Document’s prebuilt reporting forms allow users to create their own custom variations inside the system. All reports can be saved to PDF, XLS, and DOCX. Users can run reports on an as-needed basis or set them to run on a schedule and be emailed to particular users.
What other apps does InEight Document integrate with?
InEight Document is built to integrate with your existing operations. While it naturally integrates with other InEight products, InEight Document is an open software platform and can also easily integrate with other software applications and systems.
